About the Opportunity

Our Receiving and Records Supervisors are responsible for the staff that receives, documents and tracks the once-in-a-lifetime samples received in our laboratory. They manage staffing requirements, work flow, sample processing requirements and provide technical assistance. They are also responsible for supervising all personnel within their shift and functioning as a liaison between the R&R technicians and management. In addition, they are trained on the importance of good documentation practices and record keeping in an FDA regulated industry. While we research and develop processes for continuous improvement, this position entails using already established techniques. Over 100 lives have been saved or improved by stem cell transplants from CBR. Every sample we process has the potential to save a life and it is our technicians that ensure every sample can.

Duties and Responsibilities


  • Perform all assigned duties in compliance with internal Standard Operating Procedures (SOPs), and practices as well as external regulations as applicable.
  • Supervise activities of Receiving and Records staff.
  • Schedule all Receiving and Records work hours as dictated by the requirements of the lab.
  • Monitor work hours and avoid accrual of overtime.
  • Coordinate and/or assist with training of new staff members.
  • Participate in employee evaluations/performance reviews.
  • Assist in the interview and selection process of new employees.
  • Confer with and direct Receiving and Records personnel to discuss operational problems and explain procedural changes or practices.
  • Delegate responsibility and guide co-workers in a professional manner.
  • Make independent decisions regarding sample non-conformities in accordance with SOPs and regulatory requirements.
  • Bring compliance issues to the attention of management.
  • Audit, verify, and maintain accurate records and documentation for each cord blood sample and assure client confidentiality.
  • Maintain personnel training records to ensure they are up to date at all times.
  • Maintain and/or direct contact of Receiving and Records staff as needed with CBR San Bruno.
  • Oversee and prepare maternal blood samples for Infectious Disease Marker (IDM) testing.
  • Verify and mail physician, client, and state infectious disease status notification letters.
  • Oversee and assist Receiving and Records staff in the generation of barcode labels for all incoming cord blood samples as needed.
  • Order supplies as needed for the Receiving and Records Department.
  • Initiate and/or review document change orders.
  • Troubleshoot problems and help to develop improved procedures.
  • Perform root cause analysis and corrective action of deviation and non-conformities noted within the Receiving an Records Department.
  • Perform other related duties as directed by the Receiving and Records Manager and/or Administrator.


Supervisor Responsibilities


    Directly supervise 10 to 15 employees in the Receiving and Records Department. Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, and providing back-up training for employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.



Skills / Requirements
Education and Training

  • A High School Diploma or GED Equivalent.
  • 2+ Years of successful supervisory/leadership experience


Additional Requirements


  • Possess a strong work ethic and present good work practices in the areas of attendance, attitude and punctuality.
  • Strong organizational skills.
  • Ability to delegate and direct department workflow.
  • Experience in mentoring and coaching subordinates.
  • Passionate about contributing to a quality system.
  • Working proficiency with basic computer systems (i.e. MS Word, Excel, etc.).
  • Excellent written and verbal communication skills.
  • The ability to manage multiple ongoing projects simultaneously.
