GENERAL POSITION SUMMARY:
The Receptionist – Southern Region is responsible for answering the main campus multi-line switchboard, greeting clients and visitors and directing them to appropriate staff, initiating visit and client sign-in procedures, providing general secretarial and administrative support to the corporate office. The Receptionist is familiar with agency services and is able to provide general information to callers and walk-in visitors.

ESSENTIAL DUTIES & RESPONSIBILITIES:
• Unlocks designated doors in the morning and locks doors at the close of the business day.
• Opens and maintains the switchboard as scheduled, Monday through Friday, 8:00 a.m. to 5:00 p.m. answering all incoming calls to the regional office promptly and courteously, and directing calls to the appropriate staff.
• Takes messages in a complete and legible manner, containing all pertinent information, and forward those messages to the appropriate staff if callers prefer not to use the voice mail system.
• Greets visitors and clients, directing them to appropriate staff and initiating security procedures including issuing nametags and maintaining a confidential sign-in log.
• Maintains telephone lists in various formats: on network, in notebook at front desk and on switchboard labels.
• Maintains clipboard for Angel House staff to record attendance status.
• Retrieves messages from answering service and voice mail, forwarding information as appropriate.
• Maintains a front desk operation manual for use by switchboard relief personnel and other staff as needed.
• Maintains postage meter and scale, including arranging for monies to be added to postal account.
• Accepts reimbursement from agency employees for personal postage and submit monies as per policy.
• Posts outgoing mail and prepares mail for collection, including packages and envelops to be sent via express services (i.e., Federal Express).
• Receives incoming mail and distributes sorted mail to staff.
• Posts incoming checks and cash in appropriate log book, endorses checks with appropriate stamp and places monies in designated pouches, issues receipts for cash and follows all accounting procedures and policies to ensure accurate log, appropriate endorsement and receipts.
• Ensures that all monies (cash and checks) are secured at the end of the business day by submitting pouches and envelopes to the Accounting department.
• Provides elemental security for the office by supervising the reception areas, controlling access to other areas of the office, following sign-in procedures for all visitors, reporting any possible security issues to the designated Safety Officer and to Executive Administrative Assistant.
• Submits requests for reimbursement for Federal Express and other vendors as necessary.
• Keeps reservation books for meeting space in work area, allowing staff to access and reserve space as requested.
• Performs other duties as assigned which are consistent with the general responsibilities of the position.
REQUIRED COMPETENCIES:
 Able to demonstrate competency and ability office procedures and clerical/secretarial functions.
 Familiarity with office machines and other technologies which are appropriate to the efficient and effective operation of an office.
 Able to work with people, maintain a pleasant disposition, with good presentation both in person and on the phone.
 Must have good organizational skills.
 Effective written, oral and interpersonal communication skills.
 Must have ability to maintain confidentiality; and exhibit mature judgment.

Skills / Requirements
MINIMUM QUALIFICATIONS:
 Must be 21 years of age (licensing requirement).
 High school diploma or equivalent.
 Minimum 1 year experience providing general administrative/clerical support to include receptionist/operator duties, preferably in a human service industry.
 Possess a valid Arizona driver’s license and be insurable under the agency’s automobile policy.
 Able to operate common office equipment.
 Must be computer literate with knowledge of Outlook and Microsoft Office programs (i.e. Word, PowerPoint, Excel).
 Bilingual in English and Spanish required.

OTHER REQUIREMENTS:
 Must be able to provide DPS fingerprint clearance.
 Must be able to meet training and agency compliance requirements for the position.

Mental Requirements
• Ability to effectively communicate in the English and Spanish languages.
• Ability to interact well with various levels of staff and with guests of AzCA.

Physical Requirements
• Must be able to climb stairs, with frequent sitting, standing, writing and computer usage.
• Frequent moderate physical effort (lift/carry up to 25 lbs.).
• Frequent reaching, bending, stooping, kneeling or crouching.
